How clear is your business on where AI should actually help you?

We have not really looked into it yet. A few people are interested, but there is no plan. We know roughly where it could help. We have a clear plan, with priorities and an owner.

Q2. Are you paying for AI tools, and is your team actually using them?

No AI tools or licences yet. We pay for some, but barely anyone uses them. Some people use them, unevenly across the team. They are used daily, and we can see the time saved.

How confident are you that staff can only reach the files and data they should?

Not confident, or we have never checked. Probably mostly fine, but we have not reviewed it. We have reviewed permissions at least once. We review access regularly and watch for oversharing.

Do you know whether staff are putting company information into free AI tools?

Probably, and we have no rules to stop it. Possibly, we are not sure. We have told staff what is and is not allowed. We have clear rules and the controls to back them up.

Do you have rules in place for how AI may be used?

No, nothing written down. Some informal guidance, nothing formal. We have a written AI policy. A policy, a register of where AI is used, and someone who owns it.

How well does your use of AI account for the rules around client or personal data, for example under GDPR, client contracts or sector regulation?

We haven't looked at AI against those obligations. We're just starting to line AI up with them. We mostly meet them, but it's not something we track closely. We can already evidence responsible, governed AI against them.

If someone on your team wanted to use AI well tomorrow, could they?

No, nobody has been shown how. They would work it out themselves from YouTube. A few confident people help everyone else. The team has been trained, with prompts and guides to hand.
